Accounting Assistant

Elara Engineering is seeking an Accounting Assistant to support the growth of our Operations Team in a variety of functions focused on daily accounting operations and accurate financial recordkeeping. Reporting to the Accounting Manager, the Accounting Assistant’s primary responsibility shall be to maintain accurate financial records, process transactions, and assist in the preparation and reconciliation of financial reports in support of the firm’s accounting operations.

Specific responsibilities include, but are not limited to the following: 

RESPONSIBILITIES 

  • Assist the Accounting Manager in administering the organization’s accounting-related operations, including accounts payable, accounts receivable, billing, project accounting, expense reports, credit card reconciliations. 
  • Prepare and issue client invoices; track collections and follow up on outstanding balances. 
  • Reconcile bank and credit card statements monthly and assist with general ledger maintenance. 
  • Assist in maintaining project accounting records within firm ERP software (presently Unanet AE). 
  • Assist in compiling financial summaries and reports (e.g., cash receipts, expenditures, and profitability summaries) as requested. 
  • Support month-end and year-end close processes by preparing journal entries and schedules. 
  • Assist with maintaining documentation for audits, insurance renewals, and other regulatory filings. 
  • Maintain organized digital and physical financial records consistent with firm procedures. 
  • Assist the Accounting Manager and Operations Manager in maintaining firm records to ensure accuracy and compliance.  
  • Assist the Accounting Manager in facilitating benefits annual renewals (including business insurance) and maintaining Certificates of Insurance.

QUALIFICATIONS 

  • Associate’s or Bachelor’s degree in Accounting or Finance (or related field) or equivalent relevant experience. 
  • Minimum two years of bookkeeping or general accounting related experience. 
  • Developed understanding of basic accounting principles and general ledger processes. 
  • Ability to handle sensitive information with discretion and maintain confidentiality.  
  • Strong attention to detail and accuracy with excellent organizational and time-management skills.  
  • Effective verbal and written communication skills, with the ability to collaborate with individuals at all levels of the organization. 
  • Proficiency in Microsoft Office programs is required. 
  • Familiarity with Unanet AE or similar ERP software is a plus. 
  • Must be able to report to Elara’s headquarters presently located in Hillside, IL a minimum of one business day per week in coordination with the Accounting Manager. 
SALARY & BENEFITS:     $45,000-$75,000

LOCATION:     Chicago or Hillside Office

We offer a hybrid work schedule and flex Fridays.
